Al Khaadem Youth Camp 2026: Eternal

These Terms and Conditions govern registration for and participation in Al Khaadem Youth Camp 2026: Eternal (the “Camp”). The Camp is organised by FOQUS AKY Sdn. Bhd. (the “Organiser”), with event-management support from Al Khaadem Foundation (“AKF”).

By submitting the registration and making payment, the parent or legal guardian (the “Guardian”) confirms that they have read and agreed to these Terms and Conditions for themselves and the registered participant (the “Participant”). The Guardian also confirms that they have authority to register the Participant and give the consents stated here.

The registration fee per Participant is as stated in the registration form and official confirmation, and includes accommodation, meals, Camp insurance and all Camp activities. Registration is personal to the Participant and cannot be transferred or substituted.

A place is confirmed only after the Organiser has received a complete application and full payment, completed any required eligibility review, and issued written confirmation. If the Organiser rejects an application before written confirmation, any registration fee already paid will be returned.

The Camp is a structured spiritual and personal development programme, not a leisure holiday. Participants are expected to take part in physically and mentally demanding activities unless excused for medical or safety reasons. Accommodation and facilities will be basic and may be shared to encourage independence and self-reliance.

The Organiser may reasonably adjust the programme, timetable, activities, accommodation or other arrangements for safety or operational reasons.

Activities may include hiking, running, jungle trekking, swimming and kayaking. These activities involve risks that cannot be completely eliminated, including falls, cuts, sprains, heat exhaustion, dehydration, insect or animal bites, adverse weather, water-related accidents, illness and other accidental injuries.

The Guardian permits the Participant to join the Camp with an understanding of these inherent risks. Participants must follow safety instructions, remain within designated areas and use the safety equipment provided. Activities will be supervised by personnel appointed by the Organiser and conducted in accordance with applicable safety procedures.

The Organiser may modify, suspend or cancel an activity, or prevent a Participant from joining it, where reasonably necessary to protect any person’s safety or welfare.

The Organiser is not responsible for incidents during travel independently arranged by the Participant or Guardian to or from the Camp.

The Camp does not provide specialist, one-to-one, nursing or routine medical care. Before registration is confirmed, the Guardian must disclose any medical, physical, developmental, behavioural or psychological condition, disability, allergy, medication or support need that may affect safe participation.

The Guardian confirms that the Participant is medically fit for the Camp. The Organiser may request medical confirmation and may refuse or limit participation if the Participant is medically unfit or cannot be safely supported with the available staff, facilities and resources.

Failure to disclose complete and accurate information may result in the Participant being refused entry or removed from the Camp without a refund.

To encourage independence and minimise disruption, Guardians may not participate in Camp activities, accompany the Participant or visit during the Camp without the Organiser’s prior approval.

This restriction does not apply where the Organiser requests a Guardian’s attendance because of an emergency, illness, injury, misconduct, safeguarding concern or other exceptional circumstance.

The Guardian must remain contactable, provide accurate emergency contacts and promptly collect the Participant when requested. The Guardian will bear any related travel or collection costs.

The Participant will only be released to a person authorised in the registration form whose identity can be verified. Any change must be approved by the Organiser in advance. The Guardian must disclose any relevant custody order or contact restriction.

Guardians must ensure that Participants do not bring weapons, sharp objects, cigarettes, vape products, lighters, alcohol, illegal substances, expensive valuables, unauthorised electronic devices or any item reasonably considered unsafe, unlawful or disruptive. Properly disclosed and approved medication is permitted.

The Organiser may carry out a reasonable inspection of a Participant’s bags and belongings while respecting their privacy and dignity. This does not permit an intrusive physical search.

Prohibited items may be recorded, securely stored and returned to the Guardian after the Camp. Illegal or dangerous items may be given to the authorities. Refusal to cooperate, or possession of a dangerous or illegal item, may result in refused entry or removal without a refund.

Parents or guardians must fully disclose the Participant’s medical conditions, allergies, medications and emergency contact details before the Camp.

In an emergency, authorised personnel may provide first aid within their training, arrange transportation and obtain medical treatment for the Participant. The Organiser will make reasonable efforts to contact the Guardian but may act without prior contact where immediate treatment is necessary.

The Guardian consents to relevant medical information being shared with healthcare providers and insurers when needed for treatment or a claim. Medical and transportation costs not covered by insurance will be paid by the Guardian.

Regular medication remains the responsibility of the Participant and Guardian unless the Organiser agrees otherwise in writing before the Camp. The Organiser may require the Participant to be collected because of illness, injury or medical unsuitability.

Subject to Malaysian law, the Organiser and AKF are not responsible for reasonable actions taken in good faith during an emergency, unless loss or injury is caused by their negligence or wilful misconduct.

The registration fee includes Camp insurance arranged by the Organiser. Coverage is subject to the insurer’s terms, exclusions and limits and may not cover every injury, loss or expense. The Guardian is responsible for any amount not covered by insurance.

Participants must comply with the Camp rules and all reasonable instructions given by the Organiser, staff and volunteers. Bullying, harassment, violence, theft, property damage, possession of prohibited items, unsafe behaviour and other serious misconduct are prohibited.

Depending on the seriousness of the conduct, the Organiser may issue a warning, limit activities or remove the Participant. Immediate removal may be imposed where the conduct threatens safety, welfare or the proper operation of the Camp. The Guardian must promptly collect the Participant and bear the related costs. No refund will be provided where a Participant is removed for misconduct or breach of these Terms and Conditions.

Participants are responsible for their personal belongings and should not bring expensive or unnecessary valuables to the Camp. Subject to applicable law, the Organiser will not be responsible for any loss, theft or damage unless caused by its negligence or wilful misconduct.

Any item formally collected or confiscated by the Organiser will be recorded, kept with reasonable care and returned to the Guardian after the Camp. The Organiser may help to locate a missing item but cannot guarantee its recovery.

To minimise distractions and encourage independence, routine communication between Participants and Guardians will be restricted. Mobile phones will be collected on arrival, securely stored and returned at the end of the Camp.

For an emergency or urgent matter, the Guardian must contact the Organiser at 017-761 4052. Routine individual updates will not be provided through calls, WhatsApp or personal messages.

The Organiser will contact the Guardian as soon as reasonably possible regarding serious illness, injury, misconduct, a safety or welfare concern, or required collection. Necessary parental contact will not be unreasonably withheld where a Participant raises a genuine emergency or safeguarding concern.

Photos, videos and audio recordings may be taken during the Camp. Unless the Guardian opts out before the Camp, the Guardian consents to the Organiser and AKF using these materials for Camp updates, reports, educational materials and promotional purposes through their official print, digital and social-media channels without payment. The photo box on the registration form is that choice: leave it ticked to consent, untick it to opt out.

A Participant’s full name, medical information or other sensitive information will not be published without separate consent. Where a Guardian opts out, reasonable steps will be taken to avoid capturing or publishing an identifiable image of the Participant. General Camp updates may be shared, but individual or daily updates are not guaranteed.

To the extent permitted by law, the Organiser, AKF and their respective officers, employees and volunteers will not be liable for any injury, illness, loss or damage arising from the inherent risks of the Camp, the Participant’s failure to follow instructions, non-disclosure of relevant information, pre-existing medical conditions, or circumstances beyond their reasonable control.

The Guardian will be responsible for any direct loss, property damage or third-party claim caused by the Participant’s wilful misconduct, unlawful act or serious breach of these Terms and Conditions.

Nothing in these Terms and Conditions excludes or limits liability arising from fraud, wilful misconduct, negligence or any liability that cannot lawfully be excluded.

Subject to applicable law, all confirmed registrations are non-refundable. No refund will be provided if the Participant withdraws, fails to attend, becomes medically unfit, arrives late, leaves early, or is removed for misconduct, non-disclosure of relevant information or breach of these Terms and Conditions.

If the Camp is cancelled or rescheduled due to safety concerns, adverse weather, a public-health emergency, government restrictions or other circumstances beyond the Organiser’s reasonable control, the Participant’s registration will be automatically transferred to a replacement session of the same Camp, and no cash refund will be provided.

The Organiser may reasonably change the date, venue, activities or other arrangements and will notify parents or guardians accordingly.

The Organiser will not be responsible for separate travel, accommodation or personal expenses arising from any cancellation or rescheduling. If the replacement Camp cannot ultimately be held, the matter will be dealt with in accordance with applicable law.

The Organiser may reasonably amend these Terms and Conditions where necessary to comply with applicable law, protect the Participants’ safety and welfare, or address operational needs. Material changes will be communicated promptly and will not apply retrospectively or remove any rights already gained. The Organiser may request further acknowledgement where a material change affects the registration or participation.

By ticking the first box and submitting the registration, the Guardian confirms that they have read and voluntarily agreed to these Terms and Conditions, have authority to register the Participant, and have provided complete and accurate information. The Guardian will ensure that the Participant follows the Camp rules and instructions.
